online orders - policy overview

To start an order, use the “Prop Rentals” tab to create a cart. In order to check out, you must have an account with us. After you check out, your order, and therefore the items in it, are considered “on hold” for the timeline you have specified. In order to reserve the items, a contract must be signed acknowledging that you have read all of the policies on this page and an 10% non-refundable damage fee must be paid up-front. Both of these items, along with an invoice, will be sent to you within 3-5 business days of checking out or upon review by the In the Works team. See below for more information regarding the damage fee. After completion of the contract and damage fee payment, your order is reserved and the remainder of the payment is due upon delivery or pickup (date specified on order). Ideally, items will be placed on hold 2-3 weeks in advance of a rental period starting. All rental items should be returned to In the Works in the same condition they left our possession. This includes an identifier tag, which can be found on every item. For more information, keep reading.

rental policy

Our minimum rental fee is the basic rental listed online and on the item tags. Rental periods are two weeks and charged extra for every additional week up to 4 weeks. For example, if a product is $10 for the basic rental period, it will be $10 when rented for 1-14 days. When rented for 15-21 days, the product will be $20. When rented for 22-28 days, the product will be $30. All items rented will get to you with a SKU number, typically on a tag, that corresponds to an item name and description that can be found on your invoice. Sometimes the SKU will be written or taped to the bottom of a product, other times it will be on a tag. Feel free to remove the tag for performances, but all tags must be put back onto their respective items before returning those items to us. Any boxes, moving blankets, tarps, etc. will also be labeled and must also be returned.

reservation policy

Items are considered reserved once a contract is signed and an 10% damage fee is paid. Please be aware that the items you reserve will be rented in the interim. As such, the condition may change or the item may become damaged beyond repair, therefore making it unavailable. We will do our best to make sure there are no changes, but if there should be a change, we will contact you immediately. If an item is damaged beyond repair, changes drastically, or becomes unavailable, we will remove the item at no charge to you. Reservations are binding. If you decide not to take an item that you reserved, a cancellation fee of 5% of the basic rental fee will be charged. Taking other items in place does not negate the cancellation fee.

rental items disclaimer

Our items are antique, old, or handmade and therefore most do not work unless it states in the description that they are working; i.e. toasters, TVs, radios, and cameras do not work except as noted in the description or condition notes. We do have working lamps, sconces, chandeliers, and floor lamps. Feel free to contact us if you are having a problem getting working items to work. We also have an array of weapons. None of our weapons are certified stage combat weapons unless specifically stated in the item description. 

damage waiver

An 10% non-refundable damage fee is charged on all rental orders. This is not insurance. You are still responsible for the items you have rented. You may not change the items (including putting screws or nails in to “repair” them) without contacting us first. The contract attached to your invoice is still in force. However, in return for your acceptance of the damage waiver by paying this fee, we agree to waive our right to collect damage fees except as specified. Your liability for loss or damage will not be waived in the following circumstances: (1) Any item, or part thereof, is not returned, irrespective of reason, including theft; (2) Reckless, careless, or abusive use of items including poor packaging or trucking; (3) Use of items in ways not intended (i.e. standing/dancing on chairs); (5) Damage due to neglect or misuse; (4) Damage so severe the item cannot be repaired. Please care for items, clean them before returning them, remove spike tape, wax, food and drink residue, makeup, etc. Use packing blankets when moving furniture and use bubble wrap or tissue to pack fragile items.

Failure to return an item for any reason will result in an additional charge. Additional charges will be negotiated between the group renting and In the Works Rentals based on item, condition, and functionality among other considerations. The additional charge will be less than or equal to the original cost of the item or the cost of a replacement.

late items

In order for us to have a quick turn-around time and get your items to you in a timely manner, items must arrive back to us on time. All rental periods are in weekly increments so when an item is not returned to us on the day specified, it will incur the cost for the next week as well as a 25% late fee. For example, if an item is rented for 7 days and is $10, but it is not returned until 8 days after the rental period begins, there will be an additional $12.50 fee on top of the $10 already paid for the item. If you give us an advance notice that you will have a late return, fees may be minimized or removed.

re-tagging fee

As previously mentioned, all items will be tagged with their SKU. This tagging can be simply written or taped underneath the item or could be on removable tags. If you are able to get away with keeping the tag on the item without it being seen (tucking it in, placing it underneath, etc.) during a performance, we would strongly recommend doing so. Again, in order to maintain quick operation and ensure you get the correct items on time and in the expected condition, tags must be placed back on items if removed, before returning the items to In the Works. Any tags that are not returned on the item they were rented with will incur a $5 charge per tag. This includes tags that are returned but not attached to the item. We understand mistakes happen so if a tag is accidentally ripped off of the item, but you are able to locate it and tape it to the item so we are able to identify it, the charge will not be incurred. We strongly recommend taking pictures of the tags on each item in a way you can identify them upon receipt of the items to make returning the tags at the end of your rental period easier for you. 

additional fees accrued

As stated above, the three additional fees that can be accrued after a rental period are: missing items, late fees, and re-tagging fees. In the Works must contact the customer and charge these additional fees within 10 days of items being returned to In the Works. After this 10 day period, In the Works loses their right to charge these fees to the customer. Cancellation fees must be charged by In the Works within 5 days of cancellation by the customer. As a reminder, the damage fee is non-refundable on each order processed.

set design

  • First, complete request the form detailing the show you are working on, a rough idea for your set, any “needs”, as well as any other pertinent information. 
  • In the Works will contact you within 3-5 business days upon receipt of the request to discuss next steps. 
  • Then, have an initial meeting with one of our engineers, free of charge, to discuss the design.
    • Within the above timeline, In the Works reserves the right to decline a job.
  • Then, receive an initial draft of the design for a flat fee, starting at $300, subject to change based on the size and scope of the design (see “Set…” page).
  • Small edits are free of charge.
  • Major changes or redesigns will come with a fee that will be discussed prior to beginning the redesign.

build plans

  • Using a design, build plans can be generated and digitally sent for specified items. The design can be made by In the Works or sent by the customer.
  • If designs are sent by the customer, preliminary dimensions as well as any necessary notes must be included.
  •  Build plans can be generated for one set piece, one structure, an entire set, etc. but must be specified by the customer. 
  • Basic plans start at $50-75 per plan and differ based on size and scope of plans needed (see “Set…” page). 
  • Complete the request form on the “Set…” page to specify your needs.

  • In the Works can construct sets in the tri-state area with existing designs and plans, sets designed by In the Works, assemblies using pre-existing materials, and so on. 
  • Individual set pieces such as acting blocks, platforms, benches, etc. can also be constructed and delivered based on needs.
